1.1 Legacy Process: Historically, schools managed parent invitations to Classlist via manual CSV uploads or email links, with some schools relying heavily on PTA volunteers. This required manual checks to authorise parent approvals; manual updates for leavers/joiners, and made the end-of-year rollover complex to execute.

1.2 Automated Integration: Classlist now integrates directly with the school’s MIS. This eliminates manual data handling, guarantees data accuracy, automatically revokes access for leavers, and removes the burden of data management from PTA volunteers, ensuring they do not need to handle or store sensitive parent directories.

2.1 Clear Data Roles: Direct integration protects the school and PTA by simplifying how data is processed. The School acts as the Data Controller, with Classlist acting as the Data Processor. This reduces the risk of having the PTA act as an independent or joint controller of school-provisioned parent data.

2.2 Minimal data sharing: Classlist’s Sync Wizard tool is managed entirely by school staff, reducing the amount of parent data which needs to be shared with PTA volunteers. It also allows the school to manage exclusions and safeguarding restrictions without any PTA involvement.

2.3 Maintains “gold standard” of parent consent Classlist’s data processing approach has been designed by VWV, a leading UK education law firm, to ensure parents give explicit consent before any data is shared with other parents. Data integration retains this requirement. Parents control what data is shared with other parents, and can modify this at any time. Specific parents can also be excluded from the synchronisation if required.

3.1 Secure Architecture: Classlist provides a secure read-only batch API integration directly with iSAMS or via Wonde. Classlist never writes back to the school MIS.

3.2 Strict Data Minimization: The API only authorises a small number of provisioning fields (parent email address, names, relationship with child, child name, year group, class).

3.3 Minimal IT Resource: Setup can be completed in under an hour once the IT team has authorised the API connection. Ongoing Sync Wizard management (inviting/removing parents mid year, end of year rollover) is designed for non-technical users and can be handled entirely by the School Office with no IT involvement.

ISBA’s 2026 Guidance specifically highlights Classlist as a platform which schools should consider using to support their parent association, and enable parents to connect with each other whilst meeting data protection requirements.
